How much does a conference app cost in New Zealand?

Expect NZ$3,000 or more per event for a conference app plus a separate live Q&A tool, usually on two invoices, and usually only after a sales call. Almost no vendor selling into New Zealand publishes a per-event price. Foyer publishes both of its prices: NZ$950 for Lite and NZ$1,400 for Full Service, flat per event and never per attendee.

Why you cannot just look up a price

Start with the obvious test. Try to find out, from public pages alone, what a conference app will cost you for a 300-person event in Auckland next March. It is genuinely difficult, and that is a choice the industry has made rather than an accident.

Checked on 8 August 2026: Entegy's pricing page redirects to its homepage. EventsAIR publishes no prices at all. Cvent and Whova are quote-only. These are the vendors New Zealand organisers are most often quoted, and between them they publish nothing you can plan a budget against.

The reason is not mysterious. If the price depends on how many people attend, the vendor needs to know your numbers before quoting, and a sales call is the cheapest way to find them out. It also means the number you are told is the number they think you will pay.

The maths, plainly

Note what the first row is actually saying. US$3,000 buys the conference app. Live Q&A and polling is usually a separate product on a separate invoice, which is why the realistic all-in figure for an app plus a Q&A tool sits above NZ$3,000 and often well above it.

The only reliable way under that number is to combine a schedule-only app such as Sched, at around US$600, with Slido. That works, and for some events it is the right answer. It is just not what most people mean by a conference app.

The part that catches people out

Per-attendee pricing has a property worth saying out loud: it charges you more when your event goes well. Sell another hundred tickets and the software invoice goes up, for software that is doing exactly the same job. Nothing about serving the 400th attendee costs a vendor meaningfully more than the 300th.

A pricing model that scales with your success is a pricing model that takes a cut of it.

It also makes budgeting hard in the one direction that matters. You have to commit to a number before you know your final headcount, which means either over-committing or renegotiating late.

What to actually ask a vendor

  • Is the price per event or per attendee? If per attendee, ask what happens if you exceed the band, and get the overage rate in writing.
  • Is live Q&A included, or a separate product? This is the most common second invoice.
  • What happens to attendee data after the event? Ask for the deletion date and how it is enforced.
  • Is it white-labelled, or does it carry the vendor's branding? If you run events for clients, this decides whether you can use it at all.
  • Who answers the phone on event day, and in what timezone?

Where Foyer sits

Foyer is NZ$950 plus GST for Lite, where you build the event yourself in about an hour, and NZ$1,400 plus GST for Full Service, where you send the programme and colours and it arrives finished and branded. Both are flat per event with unlimited attendees, and both prices are on the homepage without a form in front of them.

The honest caveat, the same one on the rest of this site: Foyer is run by a two-person team at Auckland Creative in Auckland. There is no published case-study list and no ISO certification. If your procurement process needs those, raise it early.
